Terms of Service
Coaching Terms of Service
Eileen Hutchinson – Coaching, Human Development & Leadership Insight
Effective from: 20th September 2026
These Terms of Service set out the basis on which Eileen Hutchinson provides coaching services. They apply to all individual coaching services unless we have agreed alternative arrangements in writing.
By booking or purchasing coaching services, you acknowledge that you have read and agreed to these Terms of Service.
- About the Coaching Relationship
Coaching is a collaborative and confidential professional relationship designed to support reflection, self-awareness, insight, learning and meaningful change.
My approach draws on psychology, self-awareness, human behaviour and a range of coaching and reflective approaches. Depending on the individual and the purpose of the coaching, this may include emotional intelligence, Transactional Analysis, reflective practice, depth psychology, Gestalt, IFS, Clean Language and other relevant models or approaches.
Coaching is client-led. Any models, frameworks, tools or approaches introduced during coaching are offered as resources for reflection and exploration rather than as prescribed methods.
Coaching does not provide medical, psychological or psychiatric diagnosis or treatment and should not be regarded as a substitute for appropriate healthcare or other specialist professional support.
- Booking and Payment
All coaching sessions must be booked in advance.
For pay-as-you-go coaching, payment is required when you book. Payment confirms and secures the agreed coaching appointment.
A session is not considered confirmed until payment has been received.
For coaching programmes and packages, payment arrangements will be set out at the time of purchase or within the individual coaching agreement.
If an agreed payment is not received in accordance with the applicable payment terms, I reserve the right to postpone or suspend further coaching until the account is brought up to date.
- Coaching Programmes and Packages
Coaching programmes provide a structured period of coaching over an agreed timeframe and may include additional resources and support beyond the individual coaching sessions.
The specific sessions, duration, programme period, resources and other inclusions will be described on the relevant programme page and/or confirmed within the individual coaching agreement.
Package benefits apply only for the duration and under the terms of the relevant programme.
Access to coaching resources, online folders, portals, or other materials provided as part of a package does not automatically continue after the programme ends.
- Pay-as-You-Go Coaching
Pay-as-you-go coaching is for clients who prefer to book individual sessions based on their needs rather than committing to a longer-term programme.
Each session is booked and paid for separately.
Pay-as-you-go coaching does not automatically include the additional resources, online portal access, or between-session support associated with my longer-term coaching programmes unless specifically agreed.
Where I provide resources after an individual session, I do so at my discretion and in relation to the work undertaken during that session.
- Scheduling and Appointments
Coaching sessions are normally delivered online using the agreed video-conferencing platform.
Clients are responsible for attending at the agreed time and ensuring they have a suitable environment in which to participate confidentially and without unnecessary interruption.
Appointments are reserved specifically for the client. For this reason, cancellations and changes to appointments are subject to the cancellation terms below.
- Cancellation and Rescheduling
If you need to cancel or reschedule a coaching appointment, please provide as much notice as possible.
If you provide sufficient notice, I will make reasonable efforts to offer an alternative appointment, subject to availability.
Cancellations made with less than two weeks’ notice, or failure to attend a scheduled session, may result in the session being charged in full.
Exceptions might be granted in truly unexpected situations.
For coaching programmes, repeated cancellations or difficulties in maintaining agreed appointments may prompt a review of how the coaching arrangement is working and whether the current programme remains appropriate.
- Communication Between Sessions
Coaching sometimes generates reflection between sessions. Clients may therefore wish to share a thought, reflection or update between appointments.
Brief communication relating to an agreed coaching arrangement is welcome. However, email or messaging is not intended to replace a coaching session or provide ongoing coaching between appointments.
Where a matter requires substantial reflection, exploration or coaching, it will normally be brought into the next scheduled session or may be addressed through an additional coaching session.
The availability and level of between-session support may differ according to the coaching programme purchased.
- Coaching Resources and Materials
I may provide clients with reflective exercises, models, articles, worksheets, recordings, recommended reading or other resources as part of their coaching.
These materials are provided for the client’s personal development and are not to be reproduced, distributed, published or commercially used without prior written permission.
Where online folders, portals or digital resources are provided as part of a coaching programme, access is provided for the duration specified for that programme.
When access is due to end, clients may be given an opportunity to download materials they wish to retain, where appropriate.
- Confidentiality
Coaching conversations are treated as confidential, subject to the limitations set out in these Terms and any applicable legal or professional requirements.
Confidentiality may need to be broken where there is a serious concern for someone’s safety, where disclosure is required by law, or where other circumstances make disclosure legally or professionally necessary.
Where an organisation commissions or funds coaching, the boundaries of confidentiality and any reporting arrangements will be agreed at the outset.
Clients are encouraged not to share highly sensitive personal information by ordinary email or other communication channels where a more appropriate secure method is available.
- Recordings
Coaching sessions are not routinely recorded.
If a recording is agreed for a specific coaching purpose, we will discuss and agree it in advance.
Any recording will be handled in accordance with the agreed arrangements, including how it is stored, who can access it and when it will be deleted.
A client may request that recording is paused or discontinued.
- Client Responsibility
Coaching is a collaborative process. The client remains responsible for their own decisions, actions, wellbeing and choices.
Coaching can provide space for reflection, challenge, exploration and insight, but no particular outcome can be guaranteed.
Clients are encouraged to raise any concerns about the coaching relationship or the coaching process so that these can be discussed openly.
- Professional Relationship and Mutual Respect
Coaching is based on a professional relationship characterised by mutual respect, openness, honesty and appropriate boundaries.
Both coach and client are expected to communicate respectfully; honour agreed arrangements and take reasonable responsibility for maintaining the professional coaching relationship.
Where the existing arrangement is no longer working appropriately for either party, this can be discussed, and the coaching may be paused, changed or ended.
- Ending or Pausing Coaching
Either the client or coach may decide to pause or end the coaching relationship.
Where possible, this will be discussed during a coaching session or communicated clearly in advance.
Outstanding payments for coaching already provided remain payable.
If a coaching programme ends early, any refund or outstanding balance will be considered in accordance with the payment arrangements and the programme’s circumstances.
- Intellectual Property
The coaching models, frameworks, written materials, exercises and other intellectual property developed or owned by Eileen Hutchinson remain the intellectual property of Eileen Hutchinson unless otherwise stated.
This includes, but is not limited to, The INSIGHT Coaching & Mentoring Cycle® and associated materials.
Clients may use materials provided during coaching for their own personal development and learning but may not reproduce, teach, distribute, publish or commercially exploit them without prior written permission.
- Privacy and Personal Information
I will handle personal information provided during the coaching relationship in accordance with my Privacy Policy.
The Privacy Policy explains how I collect, use, store, and retain personal information.
I will provide a link to the Privacy Policy alongside these Terms of Service.
- Changes to These Terms
I may occasionally update these Terms of Service to reflect changes to my coaching practice, services, pricing, technology, legal requirements, or how I deliver services.
I will make the current version available on my website.
If a change materially affects an existing coaching arrangement, I will inform the relevant client as appropriate.
- Agreement to These Terms
By booking a coaching session or purchasing a coaching programme, you confirm that you have had the opportunity to read these Terms of Service and agree to the terms that apply to the coaching service you have chosen.
Where an individual coaching agreement contains specific terms that differ from these general Terms of Service, the specific agreed coaching arrangement will take precedence for that engagement.
